Smiles To Me Dental – Parent Information

Smiles To Me Dental is excited to be coming to visit your child. This service focuses on prevention of dental disease through education. We give a fun and engaging dental presentation on the importance of brushing, healthy eating and visiting the dentist. Then with parental consent we can see children for check-ups and preventative treatments.

Who Are We?

We are a mobile dental group dedicated to raising awareness about dental health among young children in the comfort of their own environment. Our focus is on preventative treatments and education to foster lifelong healthy dental habits.

By bringing dental services directly to your centre, we create a comforting and familiar environment where children feel at ease, turning a potentially daunting experience into a positive step toward lifelong dental health. Our goal is to transform dental visits into positive experiences, helping children feel excited about caring for their teeth.

What are the costs?

  • Many children are eligible for the Child Dental Benefits Schedule (CDBS), meaning no out-of-pocket costs.

  • For ineligible children, we offer discounted rates starting at $40 for a check-up and additional discounted rates if you would like to opt into further preventative services

  • For children with dental extras under their private health insurance, we offer a NO GAP fee structure, where there will be no out of pocket cost.

How do I pay?

We do not accept pre-payments, as children’s cooperation can be unpredictable, and not all planned treatments may be completed. We will not charge for any treatment that is not complete. We prioritise a safe, comfortable environment and never force treatment. For children requiring payment, we will send invoices to parents via the provided email address after treatment is completed. These can be settled via an online payment portal or direct debit. Cash payment can be received only if the responsible parent is present throughout the appointment

I would like to be present at the appointment

You are more than welcome at your child’s appointment just let us and your centre know! We find if parents are worried, their children are aware of this and sometimes will be less compliant with their appointment. If you think this may apply to you we recommend letting your child be brave and going to their appointment with their trustworthy educator/teacher

My child will not attend this day

If you do not usually attend this day but would like to take advantage of our service, we are more than happy for you to bring your child in as long as you are present throughout the appointment and the centre is also informed and in agreement with this arrangement.

What Treatment do we provide?

  • Comprehensive Check-up (CDBS code 88011/88012, non-CDBS code 011/012)

    We conduct a comprehensive check-up, examining the growth and structure of the jaw, soft tissues in the mouth and the teeth.

  • Prophylaxis – Dental Clean (CDBS code 88111/88114, non-CDBS code 111/114)

    Also known as a polish. We use our specialised paste and toothbrush to remove plaque and stain from the teeth. If required, we use specialised hand tools to remove hard build-up (calculus) from the teeth.

  • Preventative Fluoride Application (CDBS code 88121, non-CDBS code 121) We apply a high-strength fluoride paste to promote tooth mineralisation. This decreases risk of tooth decay by making teeth more resistant to acid attacks from sugar and plaque.

  • Fissure Sealants (CDBS code 88161/88162, non-CDBS code 161)

    If a child has deep grooves in their back teeth or are at high risk of decay, we may apply fissure sealants using a resin material, which is set with a curing light to reduce plaque and food retention at the back teeth and decrease the risk of future decay

Follow Up

  • Our practitioners will prepare a detailed report outlining all treatments provided and clinical findings. After payment is settled, this report will be sent to parents via email within one business day.

  • If your child refuses treatment, we will inform you, and no payment will be required.

  • We aim to visit your centre every six months, in line with dental guidelines, to ensure your child remains comfortable with dental care and receives optimal oral health support.

Consent

We require parental consent to conduct a dental check-up for your child and to determine eligibility for the Child Dental Benefits Schedule (CDBS). Your centre will provide you with your unique booking & consent link. This is also available as a QR code below.

  • We do not have a minimum age for sign up. As long as they have teeth we are happy to see them.

  • For each child, please fill out a separate consent form

  • If you have any trouble feel free to call us and we can help create your child’s profile

Terms & Conditions

These Terms and Conditions (“Agreement”) govern the provision of mobile dental services (“Services”) provided by Smiles To Me Dental (“Provider,” “we,” “us,” or “our”) to you, the patient or the patient’s legal guardian (“Patient,” “you,” or “your”). By scheduling, receiving, or paying for Services, you agree to be bound by this Agreement.

1. Nature of Mobile Dental Services

1.1 The Provider operates a mobile dental service that delivers dental care at your child's centre (early learning centre, kindergarten, preschool etc.) within our service area. 1.2 Services include, but are not limited to: examinations, cleanings, fluoride application and fissure sealants. 1.3. The nature of mobile services may mean we are limited by the constraints of location, time and equipment and you accept that the scope of care may be restricted compared to a fixed dental clinic. 1.4 Certain procedures (e.g., fillings, stainless steel crowns) and equipment (ultrasonic scalers, triplex) may not be available in the mobile setting and will require referral to a traditional dental office.

2. Appointment Scheduling & Location

2.1 Appointments must be scheduled in advance through our online booking consent form. 2.2 You must provide a safe, accessible, well-lit location with adequate space and access to electricity (if required). 2.3 We reserve the right to refuse or reschedule service if the location is deemed unsafe or unsuitable.

3. Fees and Payment

3.1 Fees are outlined in our online consent forms. Prices are subject to change without notice. 3.2 Full payment is due within seven (7) days of the invoice date unless prior arrangements have been made. 3.3 Accounts not paid within 7 days of the invoice date will incur a $30 late payment administration fee. An additional $5 will be charged every 7 days (or part thereof) that the account remains overdue. These fees represent a genuine pre-estimate of the administration and opportunity costs incurred. 3.4 Accepted payment methods: credit/debit cards, cash, and direct debit. 4. Insurance 4.1 We do not claim from your insurance for you. It is your responsibility to verify coverage and benefits prior to the visit and use our given invoice to claim a rebate. 4.2 You are responsible for any co-pays, deductibles, coinsurance, or non- covered services. 4.3 Under our NO GAP structure we will claim your insurance on your behalf. We reserve the right to refuse participation in the trial. By agreeing to the NO GAP structure you agree to pay our discounted treatment fee structure if there are changes that do not allow us to rebate from your health insurer (i.e we cannot contact you, your insurer rejects the claim etc.). Under NO GAP we will rebate with service fees in accordance with the Child Dental Benefits Schedule fee structure.

5. Cancellations and No-Shows 5.1 You may cancel or reschedule without charge

6. Patient/Guardian Responsibilities 6.1 Provide accurate medical and dental history, current medications, and any allergies. 6.2 Inform us immediately of any changes in health status. 6.3 Ensure a responsible adult (18+) is present at all times

7. Consent and Refusal of Treatment 7.1 Informed consent will be obtained (verbally or in writing) before any procedure. 7.2 You have the right to refuse any recommended treatment. Refusal may limit the scope of care we can provide.

8. Infection Control and Safety 8.1 We follow or exceed ADA and state dental board infection-control guidelines. 8.2 All instruments are sterilised; single- use items are disposed of properly.

9. Privacy 9.1 Your protected health information (PHI) is kept confidential in accordance with the Australian Privacy Act 1988.

10. Photographs and X-rays 10.1 Clinical photographs and digital X-rays will not be taken for diagnostic and record-keeping purposes. If any photography is taken we will inform you and follow the Australian Privacy Act 1988.

11. Emergency Situations 11.1 Our mobile unit is not equipped to handle life-threatening medical emergencies. In case of emergency, call 000 immediately.

12. Limitation of Liability 12.1 Services are provided with reasonable skill and care, but dentistry carries inherent risks. 12.2 To the fullest extent permitted by law, the Provider shall not be liable for any indirect, incidental, special, or consequential damages arising from the Services.

13. Governing Law 13.1 This Agreement shall be governed by the laws of the State of Victoria, without regard to conflict of law principles.

14. Changes to Terms 14.1 We reserve the right to modify these Terms and Conditions at any time. Updated terms will be posted on our website and updated in our forms and become effective immediately upon posting.
